This article presents some results of the analysis of two practical cases of informational production considered priorities in the context of trustworthy digital repository structuration in a Portuguese public administration institution. This is an Information Science (IS) study in the field of Information Management (IM), assuming the function of information preservation as an IM variable under a systemic perspective.It addresses, on the one hand, the adoption of formats normalization as a preservation strategy based on the adoption of PDF/A, a work that has been carried out in recent years in the institution, and on the other hand, tasks and specifications that should be developed regarding the management and preservation of informational production communicated via email. It is characterized PDF format, variants and application contexts, and it is defined and described how works the technology of email, the need and importance to be considered in IM processes. A organização automática de mensagens de correio electrónico é um desafio actual na área da aprendizagem automática. O número excessivo de mensagens afecta cada vez mais utilizadores, especialmente os que usam o correio electrónico como ferramenta de comunicação e trabalho. Esta tese aborda o problema da organização automática de mensagens de correio electrónico propondo uma solução que tem como objectivo a etiquetagem automática de mensagens. A etiquetagem automática é feita com recurso às pastas de correio electrónico anteriormente criadas pelos utilizadores, tratando-as como etiquetas, e à sugestão de múltiplas etiquetas para cada mensagem (top-N). São estudadas várias técnicas de aprendizagem e os vários campos que compõe uma mensagem de correio electrónico são analisados de forma a determinar a sua adequação como elementos de classificação. O foco deste trabalho recai sobre os campos textuais (o assunto e o corpo das mensagens), estudando-se diferentes formas de representação, selecção de características e algoritmos de classificação. É ainda efectuada a avaliação dos campos de participantes através de algoritmos de classificação que os representam usando o modelo vectorial ou como um grafo. This study looks at the effectiveness of using a secure email system linked to an electronic health record to send reminders to patients in an effort to increase colorectal cancer (CRC) screening rates; 1397 subjects were randomized to receive usual care, a letter reminder or an email reminder which invited patients to pick up a fecal occult blood test at the lab for CRC screening. The number of completed CRC screenings was tallied after a 3 month study period. Rates of CRC screening in the 3 groups were 7.8% in the usual care group, 23.6% in the letter reminder group and 22.7% in the email group. Significant statistical difference was seen between usual care group and letter reminders (p<0.0005) and between usual care and email reminders (p<0.0005) but not between the letter reminders and the email reminders (p=7.11). Email reminders are as effective as letter reminders in increasing CRC screening rates.

Facemail is a system designed to investigate and prevent common errors that users make while composing emails. Users often accidentally send email to incorrect recipients by mistyping an email address, accidentally clicking "Reply-to-all" rather than just "Reply", or using the wrong email address altogether. Facemail is a user interface addition to an email client that provides the user with more information about the recipients of their email by showing their actual faces. This form of information is much more usable than the simple text in current displays, and it allows the user to determine whether his email is going to the correct people with only a glance. This thesis discusses the justification for this system, as well as the challenges that arose in making it work. In particular, it discusses how to acquire images of users based on their email address, and how to interact with lists, both in learning their members as well as displaying them to the user. Yet despite increased efficiency in the communication process, miscommunication still abounds. United States Army and Special Operations Forces (SOF) Recruiters in the U.S. Army Recruiting Command (USAREC) currently use four prospecting strategies to recruit Future Soldiers. These include telephone, referral, face-to-face, and internet or email prospecting. The four prospecting strategies have proven to be effective, but email prospecting continues to remain the most under utilized. Ironically, email prospecting is the most efficient strategy, yet most recruiters either refuse to try it or they use it incorrectly. This study will demonstrate that U.S. Army and SOF Recruiters can use email as a legitimate marketing tactic and powerful tool. The introduction will include the purpose of this study, background information that led me to this topic, and my hypothesis. The second chapter will discuss the four recruiting strategies that are being used by U.S. Army and SOF recruiters with a concentration on email prospecting. In the third chapter, I will conduct two case studies on organizations that successfully used email marketing to increase recruitment and improve sales. I will also conduct a case study on the Raleigh Recruiting Company and demonstrate how email marketing was used to increase recruitment during Fiscal Year (FY) 2006. The fourth chapter containing a model to demonstrate the efficiency of Email marketing/prospecting when compared to phone prospecting and I justify an estimated Return on Investment (ROE) if the Army were to outsource an Email Service Provider (ESP) to assist recruiters with their email prospecting efforts. The final portion of this chapter will determine whether or not USAREC is properly aligned to execute an effective email marketing campaign and I provide additional email marketing strategies that can be used by the Army and SOF. Its inherent efficiency, captive audience, and trust provide a dangerous attack vector for adversaries utilizing fraudulent email. Digital authentication can provide a layer of defense to official bulk email that, combined with other defensive countermeasures, will greatly reduce its vulnerabilities. The Department of Defense mandates that official emails, which contain hyperlinks, attachments, or instructions to recipients, must contain a digital signature, authenticating the source of the email, and ensuring the integrity of its contents. This policy, though used at some military installations, is not being applied to official bulk email at others due to administrative roadblocks in obtaining role-based certificates, and implementing an authentication policy with legacy email systems. Information systems within the Department of Defense (DoD) need trustworthy enforcement of critical security policies against sophisticated attackers. Data, such as email, is processed on these systems on a daily basis. Since this data may contain sensitive information, special handling is required to prevent unauthorized disclosure. For these reasons, a high assurance Multilevel secure (MLS) Local Area Network (LAN) was developed to control the sharing of information at different security levels. A challenge in multilevel environments is to provide a usable and meaningful interface to users via the email clients. These email clients interact with the high assurance server running on the MLS LAN. The high assurance server returns information at security levels at or below those of the client. An email client is only able to write and manipulate mail at its level. Therefore, client systems should provide users with feedback regarding operations they are able to perform. In this research, six criteria were established to examine email clients. These criteria evaluated messages displayed to users via the email clients. All of the email clients was able to satisfy at least one of the established criteria.

Joint Applied Project; Based on a class project that developed leadership communication competencies for seven levels of Army civilians, email was found to be the most prevalent means of communication, regardless of leadership level. Additionally, there was a widespread perception that email communication needs to be improved. This thesis seeks to explore the clarity, efficiency and effectiveness of email among personnel within Army project management offices. This study included four phases: 1) a review of the relevant literature, 2) a log of email received by five project officer's in the US Army Project Management Office, 3) a questionnaire to gather data about email usage in the Project Management Office, and 4) a thematic analysis of a sample of problematic emails. The findings suggest that an overwhelming volume of email, perception that email responses must be expeditious, and the prevalence of enabling technology, contribute most significantly to email overload. Recommendations include the proposal to initiate corporate email policy and training, thus standardizing best practices and regulating email usage.

Assessment of email communication skills of rheumatology fellows: a pilot study

Physician–patient email communication is gaining popularity. However, a formal assessment of physicians' email communication skills has not been described. We hypothesized that the email communication skills of rheumatology fellows can be measured in an objective structured clinical examination (OSCE) setting using a novel email content analysis instrument which has 18 items. During an OSCE, we asked 50 rheumatology fellows to respond to a simulated patient email. The content of the responses was assessed using our instrument. The majority of rheumatology fellows wrote appropriate responses scoring a mean (±SD) of 10.6 (±2.6) points (maximum score 18), with high inter-rater reliability (0.86). Most fellows were concise (74%) and courteous (68%) but not formal (22%). Ninety-two percent of fellows acknowledged that the patient's condition required urgent medical attention, but only 30% took active measures to contact the patient. No one encrypted their messages. The objective assessment of email communication skills is possible using simulated emails in an OSCE setting. The variable email communication scores and incidental patient safety gaps identified, suggest a need for further training and defined proficiency standards for physicians' email communication skills.

Notre recherche a pour but de déterminer comment les genres textuels peuvent être exploités dans le design des environnements numériques de travail afin de faciliter l’accomplissement des pratiques textuelles de cadres et de secrétaires dans une municipalité et une administration fédérale canadiennes. À cet effet, le premier objectif consiste à évaluer l’aptitude des environnements numériques de travail à supporter les pratiques textuelles (lecture, écriture et manipulation des textes) de ces employés. Le deuxième objectif est de décrire les rôles des genres textuels au cours des pratiques textuelles. Avec l’exemple du courriel, le troisième objectif vise à examiner comment le genre peut être exploité dans une perspective d’assistance à la réalisation des pratiques textuelles dans les environnements numériques de travail. Up to our knowledge, existing email retrieval ranking approaches sort the retrieved emails based on some heuristic rules, which are either search clues or some predefined user criteria rooted in email fields. Unfortunately, the user usually does not know the effective rule that acquires best ranking related to his query. This paper presents a new email retrieval ranking approach to tackle this problem. It ranks the retrieved emails based on a scoring function that depends on crucial email fields, namely subject, content, and sender. The paper also proposes an architecture to allow every user in a network/group of users to be able, if permissible, to know the most important network senders who are interested in his submitted query words. The vast increase in the volume of email and the use of the email client as a multifunctional tool now threatens the productivity gains it once created. Business professionals suffer from email overload which is accompanied by stress and organizational breakdowns. As a result, many organizations have created email free holidays and professionals have declared email bankruptcy. In this thesis the research on email overload is reviewed, analyzed, and extended through a study of email overload in academia. Using surveys and interviews of faculty at a large university, the researcher found that email overload was present in academia. The study also identified participants’ behaviors in performing email triage, managing email and email overload, and the effects of email overload. The researcher was also able to discover characteristics of cyclical email volumes amongst faculty which may have a direct impact on determining methods of email organization and the occurrence of email overload.
